The system can handle unlimited financial years and each financial year has an unlimited number of periods. The system tracks both transaction and accounting dates.
Multiple companies are able to be handled within the one CostCon database. Company processing is licence free (i.e. the one licence allows the master user organisation to manage as many companies as needed).
Full Bank Reconciliation & GST processing.
The access control system controls the type of access the user has to each company. CostCon can be set up to use different General Ledger structures. It also has facilities to export general ledger transactions to the corporate financial management system. Indeed each company can have a different external accounting system.
Standing / Recurring transactions. Costcon provides full financial transactions audit trail of all events (tracked by user and date/time). Full drill down functionality from the General ledger to the source transaction is a great feature. The system has different calendars for General Ledger.
The Construction and Contracting industry’s Job invoicing (Progress Claims) formats can be easily prepared by Project management staff in CostCon and managed for all Job types including Tender Trade Summary, Open Book and Schedule of Quantities job types.
Appropriate Progress Claims & Invoices are produced for Tender Trade Summary, Schedule of Quantities and Open Book projects.
Due to the volume of suppliers, merchants and subcontractors dealt with the industry requires smart and efficient procedures in the Payment processing area. Either Computer cheques, or, the automated creation of the file for attaching through to your bank electronic interfaces are available for all banks.
A take off / quote is prepared at Elemental level (from Libraries of templates created by the user) to produce a Quote letter - presented in Trade summary format. A schedule of materials for ordering from your merchants is made available in the Job Costing module. Much of the calculation process is automated by just loading pertinent Dimensions (once for the Job) and the results are populated in to the standard libraries built up within your organisations model. Once the contract has been confirmed the Job budgets are transferred to the Job Costing module.
Comprehensive job cost management tools are provided throughout the package for the various Job types with emphasis on each of components (Materials, Plant, Subcontractors & Labour) making the job costs. Contract values, Original & Revised Budgets are loaded and managed by the Project manager. Actual costs for materials, plant & labour and subcontractors schedules are updated in the job costing module automatically updated from the payroll, creditors and subcontractor modules. Relevant job management information is presented and accessible on line for Lump Sum Trade Summary Tender Contacts, Negotiated Declared Margins Open Book Jobs, Measure & Value Schedule of Quantities Contracts. Budget against Actual comparisons are produced in Job Outturn and Productivity reports. Comprehensive back cost management and reporting is available from this information. WIP calculations are generated at the end of each month. Profit margin views at Job summary and Cost Centre levels WIP results are calculated automatically Variation Orders are loaded as they occur and are immediately incorporated in the Job reporting throughout CostCon. Retentions are automatically calculated stored and later released for payment as part of the monthly claim processing, performed by the Quantity Surveyor / Project Manager.
CostCon has very efficient methods to create claims / invoices in suitable formats appropriate for each Job type including: Progress Claims for Lump Sum Trade Summary Tender Contacts, Negotiated Declared Margins Open Book Jobs, Measure & Value Schedule of Quantities Contracts. Day work or Charge up invoice formats for Subcontractors jobs in the Service industry sector. Service Industry Job Sheets The format of these sheets/cards is customisable by the user including personalising terminology for your company / industry.
Full Sales & Purchase Order processing features are available. Product can be purchased direct for a job, or receipted to stock and issued as required. Committed costs (for materials not received) are reflected in the reporting throughout the package. Supplier / Merchant Price Books are able to be downloaded or imported form Merchants and Client price books can also be established. Where required, these can be created at an individual job level.
All forms of documentation & methods of communication are able to be managed in CostCon. These can be emailed directly from CostCon. Standard document templates are able to be stored to streamline the correspondence process with other parties. During the Tender phase, invitations can be sent to selected subcontractors. Then during the life cycle of the job this process can continue issuing subcontractors agreements, site instructions, final accounts etc. Optionally, all transactions can be logged as events for monitoring these communications historically.
A new module is available for company’s wishing to track costs and usage of their vehicles. As well as being able to establish a profile of the plant items characteristics and monitor the usage of the plant, you can produce a financial statement on each item.
